ARC Conference 2023: Terms & Conditions

1. Terms and conditions of online sale to an individual or to a business

1.1. These Standard Terms and Conditions of Sale (the “Terms”) detail the terms and conditions applicable to the registration and purchase of all tickets to the ARC conference taking place from the 30th October to 1st November 2023, (the “Event”) and where applicable the “Services.” The Event and Services are delivered by Alliance for Responsible Citizenship Limited (ARC) incorporated and registered in England and Wales with company number 10519995 whose registered office is at 11 Charles Street, London, England, W1J 5DW (“the Organiser”).

1.2. These Terms constitute the entire agreement between all parties and supersede any prior agreement(s) concerning the same subjects as those dealt with in this agreement. 

2. Acceptance and modification of the Terms

2.1. Registration on the ARC website and on the ARC app, (operated by Swapcard), or authorised registration on behalf of an individual, which leads to the purchase  of a ticket to the Event, implies prior acceptance of the version of the Terms published on the ARC website at the time of registration: [insert link to terms on ARC website]  A user who purchases  a ticket to the Event is hereinafter referred to as the “Participant.” 

2.2. The Organiser reserves the right to modify these Terms to reflect changes in relevant laws and regulatory requirements at any time, no recourse being available to Participants in this case. 

2.3. The Organiser may also modify these Terms under any other circumstances by providing at least 5 days’ notice to Participants on the ARC website and the ARC App. Participants may contact ARC at before any such changes take effect to receive a refund for any tickets purchased, prior to the Event taking place. Any use of the Services, including the ARC App, after the modified Terms are published online will be deemed acceptance by the user of the most recent version of the Terms. 

3. Participation at the Event

3.1 Registration on the ARC website and ARC app (operated by Swapcard) allows for the Participant to attend the Event, taking place between 30th October & 1st November 2023.  

3.2 The purchase of a ticket by the Participant gives access to all day sessions. Access to evening events is limited with specific conditions, pertaining to the size of available space, or are private invited sessions and events organised throughout the duration of the Event by ARC.

3.3 Sessions or evening events may be changed up until the day of the event or session. In the Event of alteration of the description of a session, or change in speaker, ARC will publish the new description for each session on the ARC App. No guarantee can be made of a particular speaker or session content, due to third party aspects such as sickness or travel conditions. 

3.4 Access to sessions will be possible within the limit of the places available. The Organiser cannot under any circumstances guarantee participants that they will be able to have access to their chosen sessions due to the physical constraints on site. The Organiser advises participants to use their own judgement in when to arrive at sessions in advance of the time indicated in the programme. 

3.5 Certain areas of the in-person conference (for example, shops, speakers’ rooms, and certain lounges) are unavailable for the duration and are closed to those not authorised. The Participant is informed and accepts that access to these areas is not allowed for public entrance. 

4. Ticket Purchases

4.1. Tickets can only be purchased on the ARC website and are payable solely in UK Sterling (£). No other website publisher is appointed to sell entrance tickets. The Organisers shall not be liable for participant recourse due to being unable to access the Event, if purchased via an alternative non- online retailer. ARC will not be liable in the case of the unauthorised transfer or sale of a ticket which then leads to an individual not being allowed access to the Event. 

4.2 Tickets sold online via the ARC website give access to the Event for the full three days, within the hours published prior to the Event and as illustrated on the ARC App. 

4.3 Participants agree that the Organisers reserve the right to modify, change and adjust the price of a ticket type prior to any purchase of a ticket as well as create additional ticket types without notification. The Organiser is free to promote special packages/prices and/or offers for a definite period. Conditions and period of validity of such promotional prices and/or offers will be subject to a specific promotion on the ARC website. 

4.4 Participants agree that the Organisers can promote to discreet partners, networks, associations and or other groups, special rates of tickets to fulfil partner agreements and ensure diversity and appropriate participation at the Event. This in no way affords a claim of change in ticket fee as promoted by ARC at any given time. 

5. Cancellation or reimbursement

5.1. The sale of tickets will be definitive once the purchase has been validated by the Participant and confirmed by the Organiser. If you are unable to attend for any reason, we would be happy to refund your ticket up to the day of the Event, provided we are able to reallocate your ticket. If we can’t reallocate your ticket, we can’t provide you with a refund. 

5.2. Tickets shall not be sold or transferred to third parties by the Participant and are personal, without the express authorisation of the Organiser. 

5.3 ARC reserves the right to withdraw an invite/ticket to the Event. If a ticket has been purchased then a full refund will be issued. 

6. Events outside the Organiser’s control

If the Event needs to be delayed due to an event outside the Organiser’s control (such as adverse weather conditions, Pandemic, strike action, rioting, terrorism and the implementation of associated government measures), the Organiser will advise Participants as soon as possible and will do what it can to reduce the delay. As long as the Organiser does this, it won’t compensate Participants for the delay, but if the delay is likely to be substantial you can contact ARC at: to receive a refund for the price of any tickets purchased, less reasonable costs the Organiser has already incurred.

8. Image Rights

8.1 Participants are informed that photographic and / or audio-visual recordings may be made by the Organiser and / or partners and press throughout the event and in all areas open to the public.

8.2 ARC attendees thereby recognise and accept:

  1. that their image can be captured in photographs and / or films that will be produced. 
  2. that the photos and films can be reproduced and represented on any media. 
  3. The distribution rights of the Organiser and other partners of any photo or film of any information, documentary (i.e., podcasts videos) can be used for promotional activities related to the Event and for any current or future gathering. 
  4. This content is authorised for any media or medium and technical forms known or unknown to date, for the whole world.

Attendees may exercise their right of access, rectification and deletion of their image, free of charge from ARC’s website or off-line material via contacting ARC at 

8. Event Content

8.1 ARC are the owners or licensees of all intellectual property rights at the Event and on the ARC website and App. All text, information, graphics, interfaces, photographs, video and material available at the Event and on the website is protected by copyright and other proprietary and intellectual property laws. 

8.2 ARC declines all responsibility concerning any errors or omissions in any content shown at the Event, either by ARC content partners, community members, or other participants. 

9. Limitation of Liability

ARC is responsible for losses you suffer caused by us breaking these Terms unless the loss is:

  1. Unexpected. It was not obvious that it would happen and nothing prior to purchase of your ticket meant we should have expected it (so, in the law, the loss was unforeseeable).
  2. Caused by a delaying event outside our control. As long as we have taken the steps set out in Section 6 “Events outside the Organiser’s control.”
  3. Avoidable. Something you could have avoided by taking reasonable action. 
  4. A business loss. It relates to your attendance at the Event for the purposes of your trade, business, craft or profession.

10. Invalidity

If a court or other authority decides some of these Terms are unlawful, the rest will still continue to apply. 

11. Applicable law and disputes

11.1 These Terms are governed by the laws of England & Wales.

11.2 If you have a complaint in respect of the Event or the Organiser, please contact ARC at and we will do their best to resolve any problems you have with us or our Event. 

11.3 Any dispute that may arise concerning the validity, interpretation or performance of the Terms will, be resolved using best efforts in an out of court settlement. If this is unsuccessful, wherever you live you can still bring claims against us in the English courts. If you live in Wales, Scotland or Northern Ireland, you can also bring claims against us in the courts of the country you live in. We can claim against you in the courts of the country you live in.
